HomeMy WebLinkAboutArts Commission Minutes 8-19-10Central Point Arts Commission Meeting Minutes MEETING CALLED TO ORDER The meeting was called to order on Thursday, August 19, 2010 at 6:15 p.m. ROLL CALL Arts Commission members in attendance were: Robert Reid, Rick Moody Parks & Recreation Department Staff in attendance were: Jennifer Boardman, Parks and Recreation Manager; Shelly Brown, Parks and Recreation Support Specialist MINUTES There was not a quorum present to approve the minutes from May 6, 2010. Minutes and additional information from this meeting will be emailed to all Arts Commissioners and minutes will be reviewed and approved through correspondence. CHANGES TO THE AGENDA No changes to the agenda PUBLIC APPEARANCES Debbie Saxbury of the Central Point Beautification & Revitalization Committee BUSINESS STATUE UPDATE FOR DOWNTOWN Debbie Saxbury of the Central Point Beautification & Revitalization Committee presented the plan to erect a bronze statue in downtown Central Point on the corner of E. Pine and N. 1st Street. The Beautification & Revitalization Committee has approved the statue for purchase and installation and the recommendation of the Arts Commission is being sought to present the information to City Council for approval. There was no quorum present so a recommendation from the Arts Commission could not formally be made. Ms. Saxbury’s presented information will be emailed to all Arts Commissioners for a vote of approval and the Central Point Beautification & Revitalization will be notified, in writing, of the Arts Commission’s decision to support of this project as soon as possible. GOVERNING RULES FOR ARTS COMMISSION Jennifer Boardman presented the Governing Rules for Arts Commission explaining that these rules must be brought to City Council for approval. There was discussion that the number of yearly required meetings (currently set at four per year) should be increased to eight per year. The governing rules currently stipulate that a minimum of three meetings per year are required and meetings may be added or cancelled by the Commission Chair or staff liaison. The Arts Commission members present would like to see the Governing Rules for Arts Commission reflect a minimum of eight meetings per year are required. A vote will be sought through email communication to amend the Governing Rules to read eight meetings per year are required. Once the vote is concluded, the Governing Rules will be presented to City Council for approval. BOARD MEMBER BILL OF RIGHTS & DONOR BILL OF RIGHTS Jennifer Boardman presented an example of Board Member Bill of Rights. All present agreed it is important to adopt this Bill of Rights for the Arts Commission. A copy of the Board Members Bill of Rights will be emailed to all Arts Commission members and a vote will be taken to present adoption of these rights for the Arts Commission to City Council. VII. MISCELLANEOUS ARTS COMMISSION BUDGET Jennifer Boardman reminded the Arts Commission members present that the Arts Commission has a budget of $3,000 beginning July 1, 2010. WORK PLAN Jennifer Boardman presented the Arts Commission 2010 Work Plan encouraging the Arts Commission to determine a list of goals for the year. VIII. ADJOURNMENT Adjournment of the Arts Commission meeting was unanimously made at 7:15 p.m. Parks and Recreation staff will email the Arts Commission members the minutes from the meeting of May 6, 2010 for approval, the minutes from the August 19, 2010 meeting and all information requiring a vote from the Arts Commission members. The next Arts Commission meeting is scheduled for November 18, 2010 at 6:00pm in the City Hall Council Chambers.
